Privacy Notice

1. Scope and who we are
This Privacy Notice explains how Family Rush Adventures LLC ("Family Rush," "we," "us," or "our"), a Columbus, Ohio business, collects, uses, discloses, retains, and protects information through familyrushadventuresllc.com and related pages, forms, and communications (the "Site").
The Site is intended for parents, legal guardians, caregivers, venue representatives, sponsors, vendors, and other adults age 18 or older. Children should not submit forms or contact information through the Site.
2. Information you provide
Family waitlist
When an adult joins the family waitlist, we collect the adult's name, email address, phone number, preferred contact method, the child's age (but not the child's name), preferred proposed date and wave, and any optional message the adult chooses to provide.
Party-promotion interest
When an adult submits a party-interest request, we collect the adult's name, email address, phone number, preferred contact method, preferred and backup dates, estimated number of children, children's general age range, city or general venue area, and an optional planning message.
Registration, agreements, and payment records
For website payments, we collect the adult payer's name and contact information, selected product or service, organization when applicable, preferred date when supplied, notes, website order reference, Square order and payment identifiers, amount, status, payment time, and receipt link. Participant registration may also collect the adult registrant's relationship to the child, the minor participant's legal name and age, event and wave selection, agreement acknowledgments, photo/video choice, and electronic signature. Square-not Family Rush-collects and processes payment-card, bank, wallet, and Afterpay information.
Family accounts and return rewards
After a completed payment or paid registration, a parent or guardian may create a private adult-owned family account using the matching adult email and Family Rush order or booking reference. The account may store the adult account holder's name, email, phone number, password hash and security records, linked payments and registrations, child profile names and ages, account status, login history, $5 return-reward entries, reward recipient, balance, and notes. Children do not receive separate login credentials.
Helper attendance
Authorized helpers use individual helper accounts and may submit their account identity, position or assignment, shift or event label, attendance action, optional note, website-generated date and time, available IP address, and browser information through the private helper portal. Attendance history and account controls are restricted to the owner or authorized administrators.
Reviews, partners, and sponsors
Adults may submit a rating and review, optional publication permission, or organization contact information and proposed partnership or sponsorship details. Reviews are moderated before publication. Sponsorships are business/community arrangements and are not represented as charitable donations.
Other communications
If you call, text, or email us, we receive the information you provide, along with ordinary communication metadata such as the sender, recipient, date, time, and delivery status.
Please do not submit payment-card information, Social Security numbers, account passwords, medical details, private home addresses, or child information outside the designated registration or family-account fields.
3. Information collected automatically
Our hosting and network providers may automatically process technical information needed to operate, secure, and troubleshoot the Site. This may include IP address, approximate location derived from IP address, browser and device type, operating system, referring page, requested URL, timestamps, request status, diagnostic information, and security or performance logs.
We do not currently use third-party advertising pixels, behavioral advertising cookies, or website analytics tools on the Site. The Site may use essential browser storage or a service worker to support basic functionality and previously loaded pages. If we add materially different tracking or analytics, we will update this Notice and provide any legally required choice or notice.
4. Why we use information
We use information to:
- record and organize adult-submitted waitlist interest;
- contact adults if a proposed date is confirmed and an opportunity may be available;
- respond to party, venue, sponsor, vendor, accessibility, or general inquiries;
- plan possible dates, time waves, capacity, age-appropriate programming, and community demand;
- operate, maintain, secure, debug, and improve the Site and communications;
- operate family logins, link receipts and registrations, and maintain an auditable return-reward balance;
- record helper attendance, support payroll or scheduling review, and document event staffing;
- prevent spam, misuse, fraud, or security incidents;
- establish, exercise, or defend legal rights and comply with applicable law; and
- carry out another purpose disclosed when information is collected or authorized by the submitting adult.
Joining a waitlist is not a registration, ticket, reservation, guaranteed spot, payment, or contract for services.
5. How information is disclosed
We do not sell personal information, rent participant lists, or disclose personal information for cross-context behavioral or targeted advertising. We do not provide participant names, phone numbers, email addresses, waiver information, or private messages to venues, sponsors, or vendors as a partnership benefit.
We may disclose information only as reasonably necessary to:
- service providers processing information for us under their applicable terms and safeguards;
- professional advisers such as attorneys, insurers, accountants, or security professionals;
- government authorities, law enforcement, courts, or other persons when required by law or reasonably necessary to protect rights, safety, and security;
- a successor in a merger, financing, reorganization, sale, or transfer of all or part of the business, subject to applicable law; or
- another person when the submitting adult directs or consents to the disclosure.
6. Service providers
Current providers may include:
- Vercel, for website hosting, network delivery, security, and technical logs;
- Supabase, for restricted, durable storage of adult-submitted forms, payments, family accounts, child profiles, return rewards, helper accounts, and attendance records;
- Resend, for transmitting form information and email metadata;
- Square, for secure checkout, invoices, payment status, receipts, refunds, and payment-related records;
- our business email provider, for receiving, storing, and responding to messages; and
- Squarespace, for domain registration and DNS management.
These providers process information under their own terms and privacy documentation. Information may be processed in the United States or other locations where a provider operates.
7. Retention
We retain information only for a defined business, safety, security, or legal purpose:
- Waitlist information: until the applicable proposed date is completed, cancelled, or no longer pursued, plus up to 90 days, and ordinarily no longer than 12 months from collection unless the adult begins a separate registration or business relationship.
- Party and partnership inquiries: for up to 18 months after the last substantive communication, unless a longer period is needed for an active relationship.
- Technical and security logs: according to provider settings and operational need, ordinarily for shorter periods unless needed to investigate misuse or an incident.
- Family accounts and reward records: while the account is active and as needed for receipt, accounting, reward, dispute, fraud-prevention, and legal records. An adult may request account closure, subject to records we must or reasonably need to retain.
- Helper attendance: according to approved payroll, tax, employment, insurance, and business-record requirements, with access restricted to authorized management.
- Legal or business records: for longer when reasonably necessary to comply with law, preserve evidence, resolve disputes, enforce agreements, or satisfy insurance, tax, or recordkeeping requirements.
Deletion from active systems may not immediately remove limited residual copies from routine backups, security logs, or legally protected records. Those copies remain restricted until deleted or overwritten in the ordinary course.
8. Your choices and requests
An adult who submitted information may ask us to confirm, access, correct, or delete it, or may withdraw from the waitlist or future launch communications. Email ndeyediouf@familyrushadventuresllc.com with the subject "Privacy Request," or call (614) 801-1410.
Describe the request and the email address or phone number used to submit the form. We may take reasonable steps to verify identity and authority before acting. We will respond within a reasonable period and as required by applicable law. We may retain information when an exception or legal obligation applies.
You may stop promotional email by using an included unsubscribe method, when available, or by contacting us. You may reply STOP to automated promotional texts if that functionality is introduced. We may still send non-promotional replies or legally necessary communications.
9. Children's privacy
The Site and its forms are directed to adults, not children. The free waitlist does not request a child's name. Before participation, an adult with appropriate authority may provide a minor participant's legal name, age, agreement choices, and optional media choice for registration and event safety records. A parent or guardian may maintain a child profile inside the adult-owned family account. We do not ask children to submit their own email, phone number, account credentials, or payment information, and children do not receive separate account passwords.
Children must not submit information through the Site. If you believe a child submitted personal information directly without appropriate adult involvement, contact us promptly. We will review the report and delete information where required. Participation in a future event will be governed by separate adult-facing registration, consent, and safety materials.
10. Security
We use reasonable administrative, technical, and organizational measures designed for the nature of the information processed. However, no website, email transmission, mobile message, storage system, or Internet transmission can be guaranteed completely secure. Do not send sensitive or unnecessary information through the Site, text, or email.
If a security incident occurs, we will investigate and provide notices when required by applicable law.
11. External links
The Site may link to services or websites we do not control. Their privacy practices are governed by their own notices, not this Notice.
12. Changes to this Notice
We may update this Notice to reflect changes in the Site, providers, information practices, or legal requirements. The revised version will be posted here with a new "Last updated" date. We will provide additional notice when required by law.
